- Study protocol and/or observation plan in the valid version
- Application to the ethics commission and their decision

Please pay attention to the following points when using the sample contracts:
· Make absolutely sure that you use the sample contract appropriate for your intentions! Determining factors for this are the categories and distinguishing criteria in the third-party funding guideline.
- Standard contracts contain so-called no go's. These are areas of text marked in red which are seen by the MUG as mandatory and non-amendable integral parts of the contract.
- If these no go's are accepted by the contractual partner, the contract will merely be administratively prepared on a fast-track basis by the place of submission (Department of Research Promotion and Technology Transfer) and submitted for signature.
- If these no go's are not accepted and signed by the contractual partner in the contract’s present form, the place of submission – the Department of Research Promotion and Technology Transfer – will have the contract reviewed and negotiated by the Legal Department.
- Please note that in the case of the contract types General Sponsoring, Clinical Study, Application Study and Investigator Initiated Study no further review with regard to content or legal formulation shall take place and that therefore the establishment and implementation of the contract shall lie within the responsibility of the relevant project manager. Should you need support, the relevant offices are available for help.
- Should the inclusion of other organisations or subunits be necessary for the execution of the project (e.g. Pathology, Radiology, Biobank or the like), the project manager shall be responsible for informing the unit and taking it into consideration appropriately in the contract and calculations.
Using the Sample Contracts:
- You can download the respective sample contract here, complete it with name and project title, etc, and send it directly to your contractual partner.
- After your contractual partner has returned the contract to you, please send it to the place of submission (Department of Research Promotion and Technology Transfer), which will check adherence to the no go's.
- Should your contractual partner have accepted the contract including the no go's and should the necessary documents have been submitted in full (including the calculation of costs of the project as before), the contract will be signed as soon as possible.
- Should your contract partner wish to make amendments to the no go's, the contract will be passed on to the Legal Department for individual review (in this case we ask you to send an editable electronic version; no hard-copy version is required).
Use of Contract Cover Sheets:
- In the case that a standard contract is not used, for instance because your contractual partner has already sent you a draft contract, please send this draft contract to the place of submission in editable electronic form. The contract will be “covered” with the cover sheet, commercially reviewed and returned to the sender.
- After the contract signed by the contractual partner is submitted, it is sent to the place of submission, which will check adherence to the no go's.
- Should your contractual partner have accepted the contract including the no go's and should the necessary documents have been submitted in full (including the calculation of costs of the project as before), the contract will be signed as soon as possible.
- Should your contract partner wish to make amendments to the no go's, the contract will be passed on to the Legal Department for individual review.
